Reports To: Controller & CFO
The Media Biller is responsible for processing traffic invoices, providing backup support to billing managers, and assisting in the setup and maintenance of client and billing details within the Advantage system. The Media Biller will also be responsible for creating and closing billing orders, executing ad hoc projects as delegated by the Controller and CFO, and managing special projects related to Production Accounting.
Key Responsibilities:
Invoice Processing:
- Process and track traffic invoices in a timely and accurate manner.
- Ensure all invoices match contract terms and are billed accordingly.
- Review and reconcile discrepancies between media buys, contracts, and invoices.
- Maintain and update Excel spreadsheets for invoice tracking and reconciliation.
Client & Billing Setup:
- Set up new clients and update existing client records in the Advantage system.
- Ensure that all client billing details, including payment terms, contact information, and billing preferences, are accurate and up-to-date.
- Coordinate with other departments to resolve any discrepancies related to client setups.
Billing Orders:
- Create billing orders based on media contracts and client specifications.
- Close billing orders once all invoices are processed and payments are received.
- Assist with any adjustments to billing orders as needed.
Ad Hoc Projects:
- Support the Controller and CFO with ad hoc projects, including financial reporting, invoice reconciliation, and client setup.
- Analyze data and provide reports using Excel to assist in decision-making.
Production Accounting Projects:
- Manage special projects related to Production Accounting as assigned.
- Track project progress and communicate updates to management.
- Prepare Excel-based reports to summarize financial data and project statuses.
Skills & Qualifications:
Technical Skills:
- Proficient in Microsoft Excel (VLOOKUP, Pivot Tables, Data Analysis, Advanced Formulas).
- Experience with billing software such as Advantage or similar systems is preferred.
- Basic understanding of accounting principles and media billing processes.
- Strong attention to detail with the ability to handle large volumes of data accurately.
Communication & Collaboration:
- Strong written and verbal communication skills.
- Ability to work collaboratively with other teams, including finance, production, and client services.
- Proactive in resolving issues and communicating effectively with internal and external stakeholders.
Problem-Solving & Analytical Skills:
- Strong problem-solving skills to resolve billing discrepancies or invoice issues.
- Ability to analyze data in Excel and produce actionable insights for management.
Time Management:
- Ability to manage multiple tasks and projects simultaneously, meeting deadlines consistently.
- Detail-oriented with excellent organizational skills.
Education & Experience:
- Bachelor's degree in Accounting, Finance, or related field preferred.
- 1-2 years of experience in billing or accounting, preferably within the media or advertising industry.
Physical Demands & Working Environment:
Environment: Office-based, with occasional remote work opportunities as agreed upon by the company.
Employment Status: Temporary with potential for permanent opportunities in the future.
Physical Requirements: Ability to sit for extended periods and use a computer keyboard and mouse.
